Download & Organise Your Tender Files

Before you can send a single email, your files must be structured correctly on your computer. Every participant completes this and shares proof in the group.

📌 Warm Reminder: Share a screenshot of your completed folder structure in the WhatsApp group so your coach can confirm before you proceed to Assignment 2.
01

Open the Portal & Download the Tender

Access your live project from the War Room portal

🌐

Log in to your War Room training portal

Navigate to today's live project listing. You will see the tender documents linked there. Click each file to download it — they go into your Downloads folder for now.

02

Create Your Master Project Folder

Name it after the tender — exact contract name

On your Desktop or Documents folder, create a new folder named after the project. Use the exact tender/contract name so it is easy to search later.

📁 NYC-DOE-IT-Support-2026
⚠️ Naming rule: No spaces in folder names — use hyphens. Always include the year. Example: SouthPlatteRenew-RFP26-022
03

Create Two Sub-Folders Inside

One for the actual tender, one for Collabp documents

Inside your master project folder, create exactly two sub-folders with these exact names:

📁 NYC-DOE-IT-Support-2026
📁 Actual-Tender
├─ Original RFP / Solicitation.pdf
├─ Amendments & Addenda.pdf
└─ Bid Forms / Pricing Sheets.pdf
📁 Collabp
├─ Statement-of-Work.pdf
├─ Summary-of-Procurement.pdf
├─ Tender-Insight-Report.pdf
├─ Abstract-Document.pdf
└─ US-Prime-Data-List.xlsx
📂 Collabp folder — This is for your internal decoded analysis: the 5 documents CollabP provides per project. These are confidential and never shared externally.
04

Move Files Into the Correct Folders

Drag downloaded files into their correct sub-folder

📄

Actual-Tender folder

Drag the original RFP, any amendments, and all official solicitation documents here. Do not modify the file names — keep them as-is.

🔒

Collabp folder

Drag your Statement of Work, Summary of Procurement, Tender Insight, Abstract Document, and US Prime Data List here. These are your competitive intelligence files.

05

Share Proof in WhatsApp Group

Screenshot both sub-folders visible and post

Take a screenshot showing your folder structure — both sub-folders should be visible and expanded. Post it to the WhatsApp training group with this caption:

⏸ Wait for coach confirmation before moving to Assignment 2. Do not proceed until your folder structure is verified.

Create Your First Outreach Email Campaign

Build a professional landing-page email for U.S. Prime contractors. Your email must communicate one message: "We have decoded this project and we can help you win it — under NDA."

🎯 Goal: Position your company as a SLED expert who already understands the project — the SOW, compliance requirements, pricing structure, and submission requirements. The prime reads your email and immediately sees expertise, not a cold pitch.
01

Choose Your Email Platform

Create an account or log in — Bitrix24 recommended

Select one platform. For beginners, Bitrix24 includes a free CRM + email campaigns in one place — no separate tool needed.

✦ HubSpot
✦ Mailchimp
✦ Lovable
02

Craft Your Subject Line & Sender Identity

Your sender name and subject must earn the open

Your sender name should reflect SLED expertise. Your subject line must create immediate relevance for the U.S. prime who receives it.

"We've Decoded [Project Name] — Ready to Support Your Bid"

"Confidential: [Project Name] Tender Analysis Available Under NDA"

"Your Competitive Edge on [Agency] [Project Name]"

"[Agency] [RFP Number] — We Know This Project Inside-Out"

Personalised to project Expertise signal NDA mention Specific agency/RFP
03

Write the Email Body — Expert Positioning

Use these copy blocks as your template

Your email must show the prime that you have already done the work. Copy and adapt these blocks:

Opening paragraph
Dear [Prime Company Name], My name is [Your Name] from [Your Company]. We specialise in U.S. State, Local and Education (SLED) procurement — and we have fully analysed the [Project Name] opportunity issued by [Agency Name] (RFP [Number]). We have decoded the Statement of Work, mapped the compliance requirements, identified the evaluation criteria, and built a pricing structure framework.
Value section — what we bring
Under a mutual NDA, we are prepared to share our full tender analysis and support your submission — so you can bid with confidence and speed. What we bring to the table: ✅ Full project decoded — SOW, requirements and pricing framework ✅ Compliance checklist and submission structure ✅ U.S. Prime-ready subcontracting support ✅ Proposal writing and capability statement ✅ All under NDA — confidential and protected ✅ Deep index knowledge of evaluation criteria
04

Add All 4 Required CTAs + Social Links

Every email must include these four call-to-action buttons

📅

Schedule a Meeting

Link to your Calendly page. This is the primary CTA — it gets the highest click rate.

📞

Schedule a Call

Link to a call booking page or directly to your US phone number.

📩

Request More Information

Link to a contact form or mailto link. For primes who prefer email over calls.

🌐

Visit Our Website

Link to your /us-sled page specifically — not the generic homepage.

Social links required: LinkedIn, Facebook, Twitter/X, and Instagram must appear in the email footer. Use your company's official pages.
05

Save as Campaign Draft in Your CRM

Do not send yet — save as draft and name it correctly

In Bitrix24 (or your chosen platform), create a new Email Campaign. Paste your content into the template builder. Save as draft — do not send it yet.

Campaign naming convention
[Project Name] — Prime Outreach — [Date] Example: SouthPlatteRenew-RFP26-022 — Prime Outreach — 25-May-2026
06

Import US Prime Contacts via Excel

Upload your Prime Data List to the CRM contact database

Open your US-Prime-Data-List.xlsx from your Collabp folder. Format it with these exact column headers before importing:

First Name | Last Name | Company | Email | Phone | State | NAICS

Then in Bitrix24: CRM → Contacts → Import → Upload Excel → Map fields → Import. Your campaign now has a verified recipient list ready to go.

What Your Landing-Page Email Should Look Like

Use this as your design and content brief. Match the layout, include all CTAs, and add your company's branding colours.

Complete These This Week

These build your full professional toolkit for U.S. SLED contracting. Complete them alongside the main Day 25 assignments.

3

Case Study — Demonstrate Your Expertise

Write a one-page case study using your assigned CollabP project. Show the challenge, your approach, key deliverables, and measurable outcomes. Use real numbers from the SOW. Write in first person: "We delivered…"

📝 PDF DocumentCRM Upload/us-sled page
4

Capability Statement — Your 1-Page Company Profile

Create a professional 1-page capability statement. Include: company name & logo, SAM.gov UEI, NAICS codes, core competencies, past performance, key personnel, US phone number, and contact info. This is your calling card with every U.S. prime.

📄 PDF DesignSAM.gov UEINAICS codes
5

Finish Your Company Website — /us-sled Page

Your website must be live before outreach begins. The /us-sled page must include: SAM.gov UEI prominently, NAICS codes listed, US phone number in header, your case study project card, and all four CTAs. Email CTAs will link directly to this page.
